What we keep, and why

WasteBoss is run by Aceman Software Solutions Ltd, a company registered in England. This notice covers wasteboss.co.uk. It is written to be read, not to cover every eventuality.

The early-access list

If you leave your email, we keep it, the page you were on, and which headline you saw, so we can tell you when your place is ready and understand which message brought you here. We send one email to confirm you're on the list and one when the product is ready. No newsletters. Reply "stop" to any email, or email hello@wasteboss.co.uk, and we remove you.

Licence checks

When you check a waste carrier licence we send your search to the Environment Agency's public register and show you the answer. We keep a cached copy of the register's answer for 24 hours so repeat checks are fast, and a count of checks per day from each connection (as a one-way hash, not an IP address) to stop abuse. We do not keep who searched for what.

Transfer notes and collection receipts

When you make a note, the details on it — the two businesses, the waste, the addresses, the signatures — are sent to you (and to the customer if you gave their email) as a PDF, and a copy is kept by us for two years, because the law requires both parties to keep the note for two years. Signature images are kept only inside the PDF. Notes are stored in the UK/EU region of our database provider (Supabase) and are not shared with anyone except the people named on the note, unless the law requires it.

Payments

Founding-place payments are taken by Stripe. We never see or store card details; we keep the order reference, the email on the order and whether it was paid or refunded.

Measurement

We count page views, sign-ups, checks and notes on our own server, without cookies and without any advertising or analytics scripts. Where you came from (the referring site and any campaign tag in the link) is recorded so we can tell which channels work. Nothing is sold or shared for advertising.

Your rights

You can ask what we hold about you, ask for it to be corrected or deleted (transfer notes excepted while the two-year legal retention runs), and complain to the Information Commissioner's Office. Email hello@wasteboss.co.uk.

Providers

Cloudflare (hosting and network), Supabase (database and file storage), Resend (email), Stripe (payments), and the Environment Agency's public register (licence data). Each is bound by its own contract and privacy terms.
